COBKA Privacy Policy
Last updated: April 2026
At the Central Oregon Beekeepers Association (COBKA), accessible from www.cobeekeeping.org, one of our main priorities is the privacy of our visitors and members. This Privacy Policy outlines the types of information we collect and how we use it, in compliance with applicable state and federal laws.
We may collect personal information from you when you interact with our website or become a member of our club. This information may include:
We collect only the personal data reasonably necessary to fulfill the purposes described in this policy.
Our website is hosted through Wild Apricot and uses cookies to support basic site functionality and improve your experience. We do not have direct control over all cookies set by the Wild Apricot platform.
When you visit our site, you'll see a notice letting you know cookies are in use. By continuing to browse, you agree to their use.
If you'd like to limit or block cookies, you can do so through your browser settings - though this may affect how parts of the site work. For more information about how Wild Apricot uses cookies, visit their privacy policy at wildapricot.com.
The information we collect from you may be used in the following ways:
We do not use your personal data for targeted advertising or profiling, and we do not sell your personal data.
As a COBKA member, you receive a complimentary membership in the Oregon State Beekeepers Association (OSBA), unless you choose to opt out.
OSBA membership provides statewide benefits, which may include publications such as The Bee Line, event discounts, and access to OSBA member resources. OSBA operates as a separate organization and maintains its own privacy practices.
To provide this benefit, COBKA shares limited personal information with OSBA - specifically your name and email address - so they can create or match your membership record and provide access to benefits and communications. COBKA does not share information for members who have opted out.
New Members: During membership application, you will see an option to opt out of OSBA data sharing.
Members who joined before 2026: You have been automatically opted out of OSBA data sharing, as this option was not part of the membership process when you joined. If you would like to activate your OSBA membership and begin receiving benefits, please use this poll: https://cobeekeeping.org/Sys/Poll/68508. We will update your preference based on your response.
If you update your preference, we’ll honor it as quickly as we can. We review these preferences monthly and will update your status with OSBA accordingly - but please allow some time for that change to be reflected on OSBA’s end.
COBKA shares only the minimum information necessary for this purpose and does not authorize OSBA to use your information for unrelated purposes.
We do not share your personal information with third parties except as necessary to operate our organization and provide you with the services you've requested. The following are the primary third parties we work with and why:
Wild Apricot - membership database, website hosting, and transactional emails such as payment confirmations and renewal notices
AffiniPay - payment processing through Wild Apricot
PayPal - alternative payment processing
Wells Fargo - banking and transaction processing
Mailchimp - member newsletters and general communications. We manually manage this list and do not share it further
Make (make.com) - automated internal reporting
OSBA - name and email address only, for affiliated membership purposes as described above
We also use tools such as Google Analytics and Zoom in the course of normal operations, which may collect limited usage data such as IP addresses or attendance information subject to their own privacy policies.
Wild Apricot and other platform providers may use their own sub-processors to deliver their services. We do not have direct visibility into all of those relationships, but we select providers with established privacy practices and do our best to ensure your information is handled responsibly.
For more information about how any of these services handle your data, visit their respective websites. If you still have questions, email us at contact@cobeekeeping.org.
We implement a variety of security measures to maintain the safety of your personal information. However, no method of transmission over the internet or method of electronic storage is 100% secure, so we cannot guarantee its absolute security.
In the event of a data breach affecting your personal information, COBKA will notify affected members as required by Oregon’s data breach notification law (ORS 646A.600).
We retain your personal data only for as long as necessary to fulfill the purposes described in this policy, or as required by law. Members may request deletion of their personal data at any time (see “Your Privacy Rights” below), subject to any legal retention obligations.
Children’s Information
Our services are not directed to children under the age of 13, and we do not knowingly collect personal information from children. If we become aware that we have inadvertently collected such information, we will take reasonable steps to delete it.
You can manage most of your personal information directly from your member profile. Once logged in:
If you need help with anything not available in your profile - such as requesting account deletion or a copy of your data - email us at contact@cobeekeeping.org. We will respond within 45 days and will never penalize you for reaching out.
We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page. You are advised to review this Privacy Policy periodically for any changes. Changes to this Privacy Policy are effective when they are posted on this page.
